What determines the quote?
The workflow, number of integrations, source quality, approval requirements, and testing effort determine the implementation scope. A website inquiry form, an internal knowledge assistant, and a voice booking workflow require different work.
The proposal defines deliverables, required access, milestones, acceptance criteria, and handover responsibilities. Software subscriptions, model usage, hosting, telephony, and ongoing support are identified separately when relevant.
What should you send?
Describe the task, the software involved, and an example of the result your team needs. Include your Sarasota or Tampa Bay location and preferred meeting format. Keep confidential records out of the initial inquiry.
