AI agents or workflow automation: which do you need?
Workflow automation executes a defined sequence of triggers and rules. An AI agent interprets information and chooses among permitted tools to complete a bounded task. Many useful systems combine deterministic steps with AI for language-heavy work.
Use rules when the decision is already known.
A completed form can create a CRM record, assign an owner, and schedule a reminder without an AI model deciding what happens next. Rules make predictable actions easier to test and explain. When a required field is absent, the process can pause and notify a person instead of guessing.
Use AI where interpretation adds value.
A request written in free text may need classification or a summary before it reaches the right queue. An internal question may need relevant documents retrieved and an answer prepared with citations. Evaluate whether interpretation improves the task enough to justify the additional review and operating cost.
An agent needs permissions and a stopping point.
Specify which sources the agent may read, which tools it may call, and which changes require human approval. A sales assistant can prepare account research and a draft while a rep retains authority to send the message. A receptionist can offer eligible appointment options while handing pricing exceptions to a person.
Test the whole path, including failure.
A useful evaluation covers incomplete inputs, conflicting source material, failed integrations, duplicates, and requests outside scope. Check the destination record, not only the assistant response. Define what happens after an error and how the workflow owner learns that attention is needed.
Start with one bounded pilot.
For a Sarasota or Tampa Bay business, choose a frequent task with a clear owner and a result that can be checked. Compare the pilot with your current process, including human review time. Expand after you understand the exceptions, rather than giving an agent broad authority at the first launch.
